Business Maintenance Agreement
Technical details
Inventory and preventive maintenance
We record computers, servers, network equipment and printers alongside their users, locations and critical business functions. Inspection frequency follows each device's role, with system health, capacity and agreed preventive tasks placed on a maintenance calendar.
Remote and on-site support workflow
We agree how requests are submitted and who follows them. Suitable issues are assessed remotely before on-site work is planned where needed. Business impact determines priority, while actions taken and the current request status remain documented throughout the process.
Security, updates and backup checks
We review update status, security settings and backup job outcomes for systems covered by the agreement. Maintenance timing and rollback steps are planned, with failed backups, capacity concerns and additional work requirements reported to the responsible contact.
Written scope and periodic reporting
Support hours, covered devices, intervention priorities and SLA conditions are agreed in writing. Hardware, licence, parts and additional project costs are specified separately. Reports bring completed maintenance, requests, outstanding tasks and recommendations for the next period together.
How we work
Understand the need. Build the solution together.
- 01
Understand the need
Share your locations, user numbers and existing computer, server, network equipment and printer inventory.
- 02
Plan the work
We agree on priorities and sequence around these areas: Computer, server, network and printer inventory with preventive maintenance · Remote and on-site support, request priorities, records and a written SLA · Update, security and backup checks with periodic maintenance reporting.
- 03
Implement and review
An area we review together during implementation: Update, security and backup checks with periodic maintenance reporting.
- 04
Hand over and explain usage
At handover, we review the agreed deliverables and usage steps together. We deliver the equipment and account inventory, maintenance calendar, written support scope, request and intervention records and periodic work report.
In practice
How could this work in your business?
Illustrative use case

A business tracks printer faults, new employee setup and server updates through different people. We create an equipment inventory, collect requests in shared records and prioritise by business impact, combining completed checks and outstanding work in a periodic report.

What to know before you decide.
Which equipment and checks can the agreement include?
Computers, servers, network equipment and printers listed in the agreement enter the inventory. Periodic health, update, security and backup outcome checks are defined for the relevant devices. Equipment quantities, maintenance tasks and excluded systems are explicitly recorded in the proposal and contract.
How do remote assistance and on-site visits work?
Requests are recorded through the agreed channel and prioritised by business impact. Suitable issues are investigated remotely; a visit is planned when physical work or an on-site check is required. Intervention method, location conditions and additional work follow the agreed scope.
How are support hours and response times agreed?
Support hours, priorities, response conditions and follow-up procedures are defined in a written SLA after the initial assessment. Timings reflect the company's equipment, business criticality and needs. No particular response time or continuous service commitment is assumed without a contractual agreement.
Are backups, new hardware and licence costs included?
Checking existing backup jobs and installing a new backup system are separate activities. The proposal and contract specify whether equipment, replacement parts, licences, cloud storage, operator services and additional project costs are included. Any additional work is presented with its scope and price for approval.
